Working Your Workflow: Apps and Programs to Automate Your Life

Make your workflow work for you with these tips and tools.

Time management and organization can be tough. When there's a million plates spinning and so many meetings, todo's and all of the things, it can be hard to keep everything on track. I've been working to find the perfect tools for my workflow and I bet they can help you too!

  1. Todoist

    This is my #1 holy grail tool that I use to organize literally every aspect of my life. Whether it's my business, my personal life, PRSSA, the podcast, or any other project going on, it's likely you'll be able to find it in my Todoist. What I love is how you can divide your todos into different projects, as well as add tags, reminders, deadlines, share your lists and projects with others to collaborate, and so much more! Todoist also syncs with so many of my core programs such as gmail, outlook, and even fantastical to keep all of my projects on track across the board. I'll do an in-depth blog post on exactly how I use every aspect of Todoist, but I had to include this as one of my top tools for productivity.

  2. Fantastical

    If you're anything like me, you have so many meetings and events and activities that there's no way that your brain will keep track of everything and allow you to show up at everything and wearing the right outfit. Have you ever booked yourself two (or more!!) places at once? Not the ideal scenario. Enter, Fantastical. Fantastical brings all of my calendars, meetings, and events together in one place for seamless organization. You can even sync all of your todos into the calendars as well. Another feature that I LOVE is that you can create different calendar sets. Sometimes looking at all of my calendars together can be a bit overwhelming, or may not want to see all my todos and calendar events together at once. In Fantastical, you can create calendar sets where you can pick and choose which calendars and todo lists you see at once. I have master lists of everything, events and meetings only, a set of a mix of todos and calendar events for just my business, and more! Fantastical brings everything together for a view and layout that is so perfectly you. Bonus points for being able to automatically add zoom, google meet, or Microsoft teams meetings to events automatically.

  3. TogglTrack

    This one is for anyone who struggles with time management, or needs to keep track and compare how time is being spent. This will enable you to track the amount of time you spend on different tasks and organize it into projects, invoices and more. I'm more new to this tool, but it's been really helpful in being able to visualize the amount of time I'm spending on work, school, my business and redistribute appropriately.

  4. Notion

    This is another tool that really deserves its own blog post, or even series, but is a major part of my productivity and workflow. Notion is a combination of a planner, Pinterest, database, and more. I use it to keep track of links, projects, goal-setting and vision casting, as well as more basic things like finances, organizing important documents, journaling and more. Notion has a solution for absolutely any type of organization project, class assignments, todos, amongst other projects. I organize all admin of my business, as well as my podcast and that workflow, keep all files and information together and organized, and goal setting for each by using notion. The depth and possibilities are absolutely endless and by being able to embed links to the pages, keeps all projects synced and accessible.

  5. Honeybook

    This is something that I only use for my business, but it is THE program I use for my business to manage that workflow, send documents, collect payments, manage prospective clients and consultations, emails and everything else running a business entails.
